Croctoberfest 2008 Registration: How To & Details
This year for Croctoberfest 2008 we are going to be using some new registration tools. In order to help make this process as easy as possible, I have taken screen captures of the main registration tool provided by ClubRegistration.net.
Croctoberfest 2008 Registration - 3 Main Steps
Step 1: Register for Croctoberfest and its related events
Step 2: Book your hotel room
Step 3: Purchase your ALMS race tickets and sign up for Porsche Platz corral parking. (Form now available here)
Step 1 is handled by ClubRegistration.Net so let's begin there.
Point your browser to ClubRegistration.net and you should see something similar to this:
Note the link for Login or Create Account. If you have not created an account at ClubRegistration.Net before you must click on Create Account first and walk through the pages requesting your information and information about your Cayman. Even if you aren't bringing your Cayman to Croctoberfest (or you are bringing some other car) please fill in this information into your profile. I would highly recommend that if you are creating a new account that you use the same username that you normally use on CaymanClub.Net. This will assist us in matching up members with registrations. I did not take screen captures of the account creation process but you should find it pretty simple and straight forward.
Once you have completed your account creation you will need to Login. Click the link that says Login and you should see the following screen:
Enter your username, password and make sure the button is clicked for Registrant. Then click the button that says Login. At this point you will be logged into the site and taken to your own personal Dashboard. If you are a new user who has never registered for an event at this site before, your dashboard will look something like this:
You want to click the link that says "Event Sign-Up" to get started. If you click that link you will be taken to the following page:
This page allows you to find events that you can register for using the ClubRegistration.Net site. The easiest way to find the Croctoberfest 2008 event is to select the "Club" drop down box and scroll down and highlight the entry for "Cayman Club". Once you have highlighted Cayman Club in the list simply click the Search button. The site will search for any events we are hosting and come back with a set of results. Here is what the next screen should look like:
As you can see from the image it comes back with 1 multi-event listed under Cayman Club to be held in Atlanta, Georgia. (Here's a quick tip, the words Atlanta, Georgia are also a hyperlink to the hotel registration website, but we'll get to that in Step 2 later.) The dates of October 2nd through October 5th are shown and finally there is a link to Register for this event.
Click the word/link "Register" to start your registration process for this event. You should see the following page:
This page has a lot of information about the event, I suggest that you read it carefully. The event description also contains some additional details about signing up for the entire event package vs. signing up for just the rally or Friday night awards banquet dinner. Most members will be signing up for the complete package. We are allowing individuals to sign up for just the Friday afternoon rally for free or the Friday night dinner for $75 per person. We anticipate that some members of the local Peachstate region may want to sign up for these events and attend or that some individuals may want to buy additional spots at dinner for friends or guests.
Sponsors who are attending may want to attend the whole event or just the sponsor luncheon and have a sponsor table so that is available as a separate line item. We'll get into this more as we walk through the registration.
To continue with the registration click the word REGISTER to the right. You should then see this page:
Let's walk through the 5 items on this page.
Item 1 is your email address, this should already be populated for you but if you want to have information about this event sent to a different email address other than the one you created an account with, you can change it here.
Item 2 is probably the most important selection on the page. If you are planning to attend most or all of the Croctoberfest events on Thursday and Friday then you want to select the Croctoberfest Master Package. This will automatically include you in all of the events and meals that are part of the master package for the sum of $200 per person.
If you are planning to attend only the rally or only the friday night dinner (or just those 2 events) then you should select the option for Individual Item Selection instead.
Item 3 is the Quantity of items in terms of how many packages you are buying. This is only applicable to the Croctoberfest Master Package which is $200/person, those just paying for an individual event should leave this quantity setting at 1. Otherwise if you are say bringing your spouse, then you would want to select 2 in this entry box, one Master Package for you and one for your spouse. Please note that Children 10 and under are FREE to attend the events on Thursday and Friday, Children 11 and over are the same price as adults.
Example, family of father, mother, 14 year old son and 9 year old daughter. If all were attending you would select 3 in the Quantity box, later in the individual items such as lunch, dinner, car show, etc. you would enter "4" as the total quantity for any zero price master package included items.
Item 4 is a spot to enter your VIN#. PCNA has asked us to capture the VIN#'s of everyone attending so that they can create a little something special for each owner. Please enter your 17 digit VIN# in this box. If you are not bringing your Cayman to the event or are driving a rental car, etc. please put N/A in the box.
Item 5 is your autocross class. If you don't know what class designations exist for the Peachstate region you can click on the link see classes to see a list of available classes. Caymans are likely to be S05 or P15, and a Cayman "S" is likely to be a S06 or P16. Please fill in this information. If you know that you are absolutely not going to participate in the autocross then fill in N/A in this box.
Finally, simply click the Continue button to continue.
You should now be taken to the following page:
If you selected "Individual Item Selection" you would want to skip this page and use the links on the right to go directly to the item you want to attend (Rally or Dinner or both), for most attendees, however, you probably selected the Croctoberfest Master Package in which case the Thursday night social is included in the package price. Simply select how many people will be attending and click the "Add to Cart" button to continue.

The next page you should see is the following:
This page concerns the Friday morning car show at PCNA headquarters and exhaust shoot-out. Please select the number of people attending and which car you are bringing to the car show. If you are not bringing a car then do not click add to cart, simply bypass this question and go to the next one.
If you are bringing a car, select it from the drop down list and click Add to Cart to continue to the next page.
The next page you should see is the following:
If you plan to attend the sponsor luncheon where you will get to meet some of our sponsors directly as well as participate in our Cayman quiz, then please select the number attending and click "Add to Cart". Please note that this luncheon is not sold separately but available only to those who purchase the entire master package.
The next page you should see is the following:
This item is for sponsors only which means most people registering will simply bypass this item by clicking the next item on the list to the right where the red arrow is - the Friday Gimmick Rally and do NOT click add to cart. If you are a sponsor then please enter the number of sponsor tables you would like to use for display at the luncheon. Each table is 6' long.
The next page you should see is the following:
If you selected the master package, then it includes the Friday Gimmick Rally in the master package. If you selected the individual item selection then you can select the Friday Gimmick Rally at no additional charge. This rally is open to Porsches of all models, although only Cayman teams can win prizes. If people from the local PCA region want to come out and participate in the rally they can do so. If members fly-in and only have a rental car with them they can still participate in the rally, but again, only Cayman teams are eligible for prizes. The rally is being conducted by "Spindoc". Click "Add to Cart" to move to the next item.
The next page you should see is the following:
The next two items on the list are the Friday night dinner which is included with the master package, or a separate Friday night dinner meal ticket at an extra cost of $75/person. If you have already selected the master package then click "Add to Cart" on the first item, and skip the second item and go to the Sunday Autocross listing next unless you need to buy additional meal tickets for friends, guests, etc. If you have already selected the individual item selection then skip the included meal option and go to the extra meal option screen and select the number of meals to purchase at $75 per person.
This allows local PCA members and other interest parties to sign up just for the Friday night awards banquet dinner with Vic Elford and David Stone if they choose to do so.
The page for choosing to buy the dinner separately looks like this:
As you can see you can either add one or more meals to your cart by clicking Add to Cart, or you can skip this item and go on to the Autocross selection.
Either way, the next screen should look like this:
Please select the vehicle that will be attending (if you are not bringing a vehicle to drive in the autocross then simply skip this screen and go to the final payment screen). If you have a number for your car, such as a vinyl or magnetic number please enter it here. If you do not, you should acquire one or make one (tape can be used) prior to the autocross and then update your registration later once you have a number. If anyone else, for example your spouse will also be driving in the autocross please enter their name here, if not just leave blank. Please note the cost for the autocross which is payable to the Peachstate Region on site and is not included in your package. Click Add to Cart to move to the Final Payment Screen.
The Final Payment Screen should look like this:
The Final Payment screen should show an itemized list of the events you are attending. Notice that since I chose the master package in this example that there are no additional charges for the events. (Autocross is actually payable to the Peachstate region on site we are not collecting funds for them) If everything looks in order then I have 2 options.
1) Click the Pay via PayPal button to pay via credit card, paypal funds, or online check using the PayPal site. This button will take you to the PayPal site where you must complete the transaction to finish your registration.
2) You can make note of the address and send a check to the address for payment and simply click the Continue button. If you send a check please put your CaymanClub.Net username on your check.
At this point your registration is complete and you will be returned to the Dashboard and the Croctoberfest event will be listed on your Dashboard along with a link to make changes to your registration if you need to at a later time. You are now Registered BUT NOT CONFIRMED.
Once we receive and process your payment your status will be changed from Registered to CONFIRMED at the ClubRegistration.Net site and you will receive an email to that effect. If after a couple of days you do not see your status change to confirmed please contact adsmiley@kc.rr.com to find out if there are any issues with your registration.
STEP 2 - HOTEL
Now that your event registration is complete the next item on your "to do" list is to secure your hotel room for the event (if you need one). The easiest way to do this is to visit the Westin Cayman Club Registration Site (click here). The website will allow you to book a room at a special discounted rate for this event! Normal rates are $250/night, our discounted rate is $119 a night! This group rate is available for registration until September 3rd, so please do not delay in reserving your room.
Here is the information for the hotel should you need to contact them for any reason:

STEP 3 - ALMS Race & Porsche Platz
The third item on your "to do" list is to take care of getting tickets to the ALMS race at Road Atlanta on Saturday October 4th. In order to purchase tickets and to get your parking pass for the infield Porsche corral, you need to download this form, fill it out, and mail it in with payment: http://www.planetporsche.net/downloads.php?do=file&id=211

I saw that you registered, I then checked on payment, it was received so you should have received an email that your status is now CONFIRMED for the event, you are the first to be confirmed, congrats! BTW looks like you did everything correctly too with regard to registering so it couldn't have been that hard...

I have completed steps one and two. But I do have a question:
I am unclear if I should purchase the ALMS tickets because I cannot tell if the Porsche Platz package INCLUDES tickets. You are instructing us to wait on the Porsche Platz so I am trying to understand if I should wait or purchase tickets now then do the Porsche Platz package later.
I think I am supposed to purchase tickets based on what you said, but I did not want to end up with a double charge and too many tickets.

Suneet is correct, hold off on purchasing any ALMS tickets yet because there is a package deal coming for the Porsche Platz / Parking / Tickets and we'll publicize that as soon as it is ready. I have an inquiry into Porsche and IMSA in that regard and as soon as I hear something I will post it.
Also today I was asked if Non-PCA members can go? The answer is YES, but of course they have to pay the registration fee, and they are not eligible to win awards, but they are certainly welcome to come out and have fun with everyone, whether these are friends, family or potential Cayman recruits it doesn't matter, ALL ARE WELCOME.

You can edit your registration up to a certain point so if you decide not to run the autocross just remove that from your list of intended events. The picture you showed above is actually the selection for the Friday car show, not the autocross. If you are not placing your car in the car show you can just skip that item and don't add it to the cart, you can still physically show up and look at the cars, etc. but you won't be allowed to put your car into the show without signing up for the event with car.
Does that make sense?

I dont know how that screen shot got there. Anyway thanks for the info. I am going to be in the show-n-shine as well as the exhaust blow out I want to bring some light on the 2.7L exhaust note for Borla

but I am looking forward to Crocfest (especially since work caused me to miss last year)

Not as of today, I did hear back from Porsche late last week that they are still working on it with the IMSA folks and hope to have something for me soon, it isn't like anyone else has been able to grab these tickets yet as they simply aren't available for sale yet. As soon as I hear something I will post it, but as I said previously it isn't a reason to hold up on registering since the registration process doesn't include the ALMS piece on the registration site anyway. You can go ahead and get registered and get your hotel room and then when the ALMS comes open get that as well.

22 registrations actually reflect about 30 people I think, I'd have to check the totals. If we don't get more registrations soon we'll have to start thinking about scaling back the event or something to save $ because we are only about 55% to our break-even point. SO yes I encourage people to sign up, we just added another activity yesterday that I will announce soon as well!
As for ALMS / IMSA there is a meeting in late June to discuss when to start taking registrations for that Saturday's event, as soon as that meeting happens and there is an outcome I will post the results. Trust me I've been checking on this quite frequently...
In the mean time everyone else SIGN UP!

Several new signups recently, which is a good thing!
I have updated this topic to reflect the fact that the IMSA ALMS ticket and parking form is now available.
Click here for the form: The Cayman Club - Downloads - Petit LeMans Sign Up Form - Porsche Corral and Tic
You need to fill that out, and mail it in along with payment and you will be set for the events on Saturday at Petit LeMans. Most people will buy the 1 day ticket and the infield parking pass, both are discounted. The ticket is $55 and parking is $25 for a total of $80 for everything.
